Strong governance and clear reporting are often what separate a successful SAP transformation from one that unravels under pressure.
In this conversation, our SAP specialist Junaid Hussain sits down with project manager and SAP freelancer Benjamin Smith to explore what really drives project success, how externals bridge critical gaps, and why measuring the right things early on can make all the difference.
Bridging the Gap Between Business and SI
When an organisation begins an SAP transformation, it usually brings in a systems integrator (SI) to lead the project. But Benjamin explains that success depends on more than just technical expertise.
“The SI lives and breathes projects - that’s what they do. But internal teams are often coming from BAU mode,” he says. “Someone needs to connect those worlds.”
That’s where experienced externals come in, ensuring alignment between the SI and the business while keeping reporting transparent and meaningful.
“With good reporting, you can say, ‘We’re going live on the first,’ and know it’s true,” Benjamin adds. “If the metrics underneath don’t stack up, it might look green - but it’s not.”
Defining Scope Early
One of Benjamin’s biggest lessons from years of SAP delivery? Scope clarity saves projects.
“It’s not just about what’s in scope - it’s about what’s not,” he says. “Allowing new items to creep in later adds cost, delays, and confusion.”
He’s seen projects that looked fine on paper but quickly fell apart because early metrics weren’t realistic. “When you measure what matters from day one, you can spot those red flags early and adjust.”
Governance: More Than Red Tape
Governance isn’t a box-ticking exercise, it’s a safeguard.
In Benjamin’s experience, overlooking local governance structures, especially across regions like Germany, can delay or even stop delivery. “It’s about understanding frameworks, not fighting them,” he says.
Good governance also means tracking what really drives progress. “Meetings and milestones are fine,” he notes, “but unless processes are mapped and signed off, you can’t go live.”
Facing the S/4HANA Deadline
With the 2027 S/4HANA deadline looming, both Junaid and Benjamin agree that early preparation is key.
“Some organisations will realise too late that they’ve reduced their SAP capability too far,” Benjamin warns. “It’s not rocket science, but it does take planning, time, and the right expertise.”
From a recruitment perspective, Junaid adds: “Many companies are rushing into upgrades without managing timelines properly. That’s where connecting with proven freelancers makes all the difference.”
Building the Right Partnerships
Benjamin’s final point? Good delivery starts with honest partnerships, both between project teams and between clients and recruiters.
“The best recruiters ask the right questions,” he says. “It’s not about being transactional; it’s about solving problems together.”
For Junaid, that’s exactly what IT Works Recruitment Europe aims to do. “It’s about understanding what the project really needs - not just filling a role. That’s how the right people end up on the right projects.”
